A client won't release your payment until you hand over a U.S. tax ID. Or your spouse's accountant says a number has to exist before the joint return goes out. Either way you've landed on the w7 form, and it looks more intimidating than it is.
The form is one page. What trips people up is everything around it: which box to check, which documents count as proof, and where the envelope goes.
The W7 form is the IRS application for an Individual Taxpayer Identification Number, or ITIN. An ITIN is a nine-digit number beginning with 9, issued to people who must file or appear on a U.S. tax return but cannot get a Social Security number. It is for tax purposes only.
Officially it's Form W-7, Application for IRS Individual Taxpayer Identification Number. That's a mouthful, so most people just say the w-7 form, form w7, or the itin form.
Here's the part worth understanding before you start. An ITIN exists so the IRS can process your taxes, and that's the whole job. It doesn't authorize you to work in the United States, change your immigration status, or make you eligible for Social Security benefits. Knowing that up front saves a lot of worry about what you're signing.
So what's an ITIN number actually for? Filing taxes, and very little else.
These three taxpayer ID numbers get confused constantly. An SSN goes to citizens and people authorized to work here. An ITIN goes to non-citizens who owe U.S. tax but can't get an SSN. An EIN identifies a business, not a person. You'll only apply for one at a time.
You need a W7 form if you owe U.S. tax or must appear on a U.S. return but cannot get a Social Security number. That includes nonresident freelancers paid by U.S. clients, foreign spouses and dependents joining a joint return, and international students with reportable U.S. income.
Some concrete versions. A designer in Manila invoices U.S. clients through Upwork and owes tax on that income. A U.S. citizen marries someone from Brazil and they want to file jointly. An F-1 student receives a scholarship stipend reported on Form 1042-S. None can get a Social Security number, and all three need an ITIN.
Dependents claimed on a U.S. return, nonresidents claiming a treaty benefit, and plenty of expat and military personnel families land in the same category.

That's how to get an ITIN number on paper. Here's where a w7 generator helps and where it stops: filling the PDF online gives you clean entries and flags empty fields, removing the most common rejection reasons. What it can't do is submit anything. You still print the form, sign it by hand, and mail it with your documents.
The IRS needs to confirm two things: your foreign status and identity. A valid passport proves both on its own for an adult applicant, which is why most applicants build around one. One exception catches most families: if you are applying for a DEPENDENT and their passport carries no US date of entry stamp, the passport is not enough by itself. You also need proof of US residency, a medical record for a child under 6 or a school record for a child under 18.
Without a passport you'll need two documents from the IRS list. That includes a national identification card, a birth certificate, a foreign driver's license, a U.S. visa, or a USCIS photo ID. Children under 18 may also need a school or medical record.
Now the detail that sinks more applications than any other. The IRS accepts originals, or copies certified by the agency that issued them. A notary's stamp is not enough. Take your passport to a local notary, mail that copy, and it comes back rejected.
One habit before anything leaves your hands: photocopy or scan every page you're sending, including the completed itin form. If the envelope goes missing, you'll have a record of exactly what was in it.
Three ways to submit, and the right one comes down to one question: can you be without your passport for a couple of months?
Mail it yourself. Send the form and your original documents to the IRS ITIN Operation, P.O. Box 149342, Austin, TX 78714-9342. It's the cheapest route, and the one where your passport leaves your possession.
Use a Certifying Acceptance Agent. A CAA verifies your documents and forwards certified copies, so your passport stays with you. They charge for the service.
Book a Taxpayer Assistance Center appointment. IRS staff check your documents in person and hand them back. No fee, but appointments book up during filing season.
One clarification on itin application online: you can complete the form online, but you can't file it that way. No e-file path exists for a first-time W-7. That also means the tax return attached to it has to be paper-filed, so any refund arrives later than an e-filed return would.

The IRS charges nothing to process a W7 form or issue an ITIN. There is no government filing fee at any stage. Costs only appear if you choose paid help, such as a Certifying Acceptance Agent, a tax preparer, certified document translations, or tracked postage for mailing your original documents.
Paying a CAA is usually worth it when mailing your passport abroad isn't realistic, or when a rejection would push you past a filing deadline.
Plan on roughly seven weeks from the day the IRS receives a complete application. Between January and April, and for applications sent from abroad, nine to eleven weeks is more realistic for the 2026 season.
Here's the part nobody warns you about: there's no itin card. The IRS doesn't issue a plastic card, a badge, or anything else for your wallet. What arrives is a letter, formally a CP565 assignment notice, confirming your nine-digit number.
Keep that letter. It's your proof the number was issued, and replacing it means another call and another wait. Photograph it and store the image somewhere you'll actually find it again.
If eleven weeks pass with nothing in the mail, call the IRS ITIN line and ask for a status check.
Your passport number, date of birth, and home address all sit on this form, so it's fair to ask where that data ends up. A reputable online form tool should let you fill and download the PDF without retaining your identity documents afterward.
The riskiest step isn't the typing. It's the envelope. Mailing originals is the highest-exposure part of this process, which is another argument for the CAA and in-person routes. If you do mail them, send them tracked or certified.
An ITIN doesn't last forever if you stop using it. When it hasn't appeared on a federal tax return for three consecutive years, it expires, and it has to be renewed before your next return will process normally.
Renewing uses the same w7 form. You check the renewal box, enter the existing number, and include the same supporting documents.

There isn't one to choose. Unlike most IRS forms, the W-7 has no annual edition, so there is no 2025 version and no 2026 version to hunt down. The current revision is December 2024, and it governs both filing seasons. If you searched for "w7 form 2026," the year you have in mind belongs to the tax return, not to a different document.
That return is also where your only real deadline comes from. The W-7 has no due date of its own. It inherits the due date of whatever return you attach it to: send it with your 2025 Form 1040 and the package is due April 15, 2026, send it with your 2026 return and it's due April 15, 2027. Extending the underlying return moves the package with it, though the IRS never prints an extended date for the W-7 itself, so treat the return's deadline as yours.
If you qualify for one of the exceptions listed in the form's exception table, you don't attach a return at all, and you may complete and submit the W-7 at any time.
One date does bite, and it isn't printed anywhere on the form. An ITIN that hasn't appeared on a federal return for three consecutive tax years expires on December 31 of that third year.
